How Much Does a Notion Consultant Cost in 2026?

Quick answer

Notion consultants who bill hourly charge €100–150/hour on average — but 98% don’t price by the hour at all. Most projects start at €2,000–€5,000; a full team transformation runs €15,000–€50,000+. Price tracks the shape and depth of the work, not a rate card.

There’s no single number for the same reason “what does a website cost” has no answer. A weekend coaching session and a company-wide operating system are both “Notion consulting”, and they’re as different as a dinner for two and a catered event for two hundred. So instead of a fake median, here’s a map of what each shape of engagement costs across the market, then exactly where we sit and why.

About this data: every market figure on this page comes from our State of Notion Consulting 2026 report — an independent survey of 112 practitioners across 35 countries plus an analysis of 60 Notion partner-directory listings (June 2026). As far as we know, it’s the only survey of its kind.

What Notion consulting costs across the market

Market price by engagement shape. Hourly and project-floor figures are from our 2026 survey + directory analysis; the engagement-shape ranges combine those with MF’s market experience, where published data is thin.
Engagement shape What you’re buying Typical market price
Coaching / advice session A focused hour or two on one stuck question €150–€800
Standalone audit / roadmap A diagnostic that maps your operation before any build €1,500–€10,000
Single-system build One workflow or system solved end-to-end €2,000–€15,000
Full team transformation Diagnose → build → enable, across a whole team €15,000–€50,000+
Enterprise / multi-team rollout Many stakeholders, multiple teams, deep integration €50,000–€100,000+

Two things to know about that table:

  • The median hourly rate is €100–150 (the directory’s published rates corroborate it at about $130/hour). But it’s the least useful number here, because —
  • 98% of Notion consultants don’t price by the hour. Only 2 in 112 quote a pure hourly rate; the rest sell fixed projects, value, or retainers. An hour measures time, and time isn’t what you’re buying.

Regionally, European and North American consultants both cluster in the €/$100–150 band — the band is tightest and highest in those two regions, which make up most of our sample.

The number that matters most: 98% don’t price by the hour

98%

Only 2 of 112 Notion consultants — about 2% — price purely by the hour. Everyone else sells fixed projects, value, or retainers, because price tracks the scope of the outcome, not the time spent.

This is why “what’s the hourly rate?” is the wrong question. The right one is about scope and depth — which is what the examples below make concrete.

What you’ll actually pay, by situation

Illustrative scenarios, anchored to the market data above.

A solo operator or small team with one workflow to fix

Market range €2,000–€5,000 — and often a great template plus a coaching session or two is all you need. (More on that under “If we’re not the right fit”, below.)

A growing startup (~15–30 people) building its first real operating system

This is a full transformation: one connected workspace, governance, the core cross-company workflows, the team trained to own it. Rates will depend on team size and can range from €15,000–€30,000.

A scale-up rolling Notion across multiple teams with integrations

Many stakeholders, several systems, connections to your existing stack. Custom by nature, typically €40,000+.

What your current setup is already costing you

The better question to ask before “what does it cost?” is “what is the way we work now already costing us?” Usually the answer is hours lost to “where is this?”, onboarding that takes weeks, and a founder who’s the bottleneck for every decision. AI has made building in Notion cheap — so what you pay a consultant for is the part AI can’t do:

Judgment

What should exist, and what shouldn’t. Which request is a real operational need, and which is a dashboard-shaped distraction. AI builds whatever you ask for, enthusiastically — it won’t tell you an idea shouldn’t exist. A good consultant says so on day one.

Experience

Someone who’s done this across dozens of teams knows what breaks before it breaks: the beautiful system nobody uses after week three, the clever automation that becomes maintenance debt the moment the process changes.

Capacity

Even if you could build it yourself, your attention is the most expensive resource in the company. Spending it on a workspace rebuild looks free and costs the most.

That’s why price tracks depth. A €3,000 build and a €30,000 build aren’t the same thing at two prices; they’re different amounts of judgment, context, and ownership handed to you.

Why you still hire a Notion consultant when AI can build

What we charge — and what it includes

Here’s where we sit — described, like everything above, by what you get rather than by the hour. (For how we actually work, see what we do.)

MF Consulting engagement pricing, as of June 2026. EUR.
What we do What you get Investment
8-Week Transformation Sprint Your core operating system, live and in use, team trained from €19,500two payments of €9,750
Strategy Blueprint (4 weeks) A full implementation plan you can build with us or anyone €9,750
Custom team workshop A focused, hands-on session solving one specific Notion challenge with your team from €5,000
Flywheel membership (after launch) A strategic partner keeping the system compounding from €7,000 / quarter

Prices are in EUR. If it’s easier on your side, we invoice and take payment in USD through our US bank accounts — no friction, no FX surprises.

What the 8-Week Sprint includes. Three phases: the Blueprint (weeks 1–2: a deep audit, your data architecture, a process map of your core cross-company workflows); the Build (weeks 3–6: iterative development — you’re using parts of the system within about a week — plus governance training so your team owns it); and the Launch (weeks 7–8: documentation, handover, and the integrations or migrations you need). You have a live prototype within roughly two weeks, your team is working in the system during the build, and you walk away owning it. €19,500 covers a single-team sprint; more areas, more integrations, or more stakeholders are custom-quoted.

The 4-week Strategy Blueprint is the audit on its own: a documented data architecture, a prioritised build backlog, and investment estimates — built to be executed by us or any competent Notion consultant. After a sprint, you can run the system yourself (we show you how) or keep us on as a quarterly strategic partner via the Flywheel.

A custom team workshop (from €5,000) is the lower-commitment way to work with us — a focused, hands-on session where we solve one specific Notion challenge alongside your team. It’s the right entry point when you want our judgment on a concrete problem but aren’t ready for a full transformation.

We also run occasional open workshops — public, per-seat training sessions a few times a year. If a seat in the next cohort is a better fit than a private engagement, ask us about the next one →.

What that buys, in outcomes our clients report: Russmedia Equity Partners eliminated 70% of their manual processes. Kustom scaled from 10 to 80+ employees on a foundation that didn’t need rebuilding. The fee is small next to the cost of the year you don’t fix the problem.

Is this right for you?

It probably is if:

15+ people depend on the workspace, you’re scaling or have just built a team, and you’ve outgrown a setup that’s now held together with workarounds.

It’s probably not yet if:

you need a single database built, you’re a team of three, or you already have a clear plan and just want hands to execute it. In those cases there are faster, cheaper, genuinely good options — here’s where to look.

If we’re not the right fit

We’ll tell you. If you’re a solo operator or a small team with a fairly simple workflow, you probably don’t need us — and that’s fine. The right move might be a strong template, a few sessions with one of the excellent consultants in Notion’s partner directory (notion.com/consulting-partners), or building it yourself with AI now that the building part is cheap.

When in doubt, feel free to reach out. We'll help you assess your needs and if we're not a fit, we'll make an intro with another consultant in our internal, curated network.

Most builds are straightforward: fast, focused, handled well by any solid consultant. Come to us when the stakes are high enough that you want to get it right the first time.

What moves the price

Six factors drive the spread between a €2,000 and a €100,000+ engagement — each adds scope, complexity, and time:

  • Scope — one system, or your whole operation.
  • Stakeholders — one decision-maker is simple; ten people who all touch the same workspace and disagree is not.
  • Integrations — every tool you wire Notion to adds surface area.
  • AI ambition — a tidy workspace is one thing; agents acting inside your workflows is another.
  • Data hygiene — clean data an agent won’t choke on is real work, and often where the hours go.
  • Your involvement — the more context and time your team brings, the smaller the budget needs to be.

Frequently asked questions

How much does a Notion consultant cost?

There’s no single rate. Across the market, coaching runs €150–€800, audits €1,500–€10,000, single-system builds €2,000–€15,000, and full team transformations €15,000–€50,000+. The median hourly rate is €100–150 — but 98% of consultants don’t price by the hour, because price tracks the scope of the outcome, not time spent.

Is $100 an hour good for consulting?

It’s around the market median (most Notion consultants who bill hourly sit in the €100–150 band, roughly $110–165), so it’s normal — but it tells you little on its own. The same rate can produce a quick tidy-up or a company-wide system. Judge the outcome and the judgment behind it, not the rate.

Why is Notion consulting so expensive?

Because the visible part — building in Notion — is now cheap, so what you’re paying for is the invisible part: knowing what to build, what not to, and holding your whole operation in one head while you keep running the business. That’s where the value, and the cost, lives.

How much do Notion consultants make?

From the rate and project data: a consultant billing in the €100–150/hour band, on the 1–3-month projects that are typical, is in professional-services territory — but earnings vary widely with model (most use fixed-project or value pricing, not hourly) and how senior the work is.

What is a reasonable consulting fee?

Reasonable is whatever’s proportionate to the outcome. For a small, well-defined task, a coaching session or a €2,000–€5,000 build is reasonable. For a system the whole company will run on, €15,000–€50,000+ is reasonable — because the return is measured in your team’s time, not the invoice.

Why not just hire a Notion admin in-house?

For ongoing upkeep, an in-house person is great — once there’s a system to maintain. But they take 6–12 weeks to get productive, they still need someone to decide what to build, and you end up with a maintainer rather than a system that’s right from day one. A sprint gets you the right foundation fast; an in-house hire keeps it healthy afterwards.

Is it cheaper to hire hourly or fixed-price?

Hourly looks cheaper on small, well-defined tasks and gets riskier on big ones, because it rewards time spent rather than the result. For a real build, a fixed price puts the risk of overruns on the consultant, where it belongs — which is why almost no one in our survey prices serious work by the hour.

Can I just build it myself with AI?

For a solo operator with a simple workflow, often yes — and you should. For a team, the moment more than one person depends on the system you inherit governance, permissions, and maintenance, and a cut-corner build tends to become a cleanup job. The hard part was never the building; it’s knowing what to build.
